A fleet inspection checklist should produce an action, not just a row of ticks. Record the driver, vehicle, time, findings and whether the vehicle can be released for its planned work.
Before-use checks
Check visible tyres and wheels, lights, mirrors and glass, wipers, leaks, load security, seat belts, dashboard warnings and vehicle-specific safety equipment. Confirm fuel or charge is adequate for the route. Check braking and steering only through the approved safe procedure; do not use a public-road test to investigate a known serious defect.
Classify and assign a defect
Describe the fault, location and circumstances and add a photo if safe. A safety-critical tyre, steering or brake defect means the vehicle should be withheld pending assessment. Assign an owner and escalation route for every open defect; “reported” is not the same as “repaired”.
Release with evidence
Link the repair order and inspection result to the original report. Record who authorised return to service and when. Adapt checks and record retention to vehicle class and local rules. The checklist below supports observations and does not certify legal compliance.
